How to Organise a Weekend Dig

The suggested checklist below will hopefully encourage more people to feel confident about volunteering to be weekend organiser.

Prior to the LWRG social (so you are able to give info at the social):

bulletGet hold of the locals / dig deep co-ordinator contact details from Martin
bulletCheck what / where the accommodation is and the key arrangements?
bulletWhere is the nearest public transport, supermarket, pub for meeting on Friday night
bulletWhat is the purpose of the weekend - i.e. what is the site job list?
bulletHow many people do you need for the weekend? what skills mix? (machine drivers, chainsaw operator, brickies, etc)
bulletWhat tools do we need to bring in the van?
bulletAre we catering for ourselves?
bulletDo we expect local support to run the site or do we need a site leader?
bulletIs there a wet weather plan?
bulletPre dig ring around / email to get rough numbers (up to date LWRG list via Martin)
bulletWho will be driving the minibus?
bulletDecision for what time the minibus needs to head back to London to be there by 8pm. (also important for the local society to know this as it may affect the job list etc)

Prior to the dig:

bulletFinal ring around / email a few days before the dig to confirm numbers
bulletHow are people getting there? Need to pass numbers onto the minibus driver, arrange public transport pick-ups
bulletThoughts about what to cook on Saturday evening- meat eaters / veggies
bulletOrganise for the shopping to be done, based on £6 per head for the full weekend (usually done on the Friday but may be done on Saturday as long as you have brought enough for breakfast-and also evening Toast!!!!
bulletIf you have more / less numbers than you think you have work for, check with the locals or dig deep co-ordinator as you may need to alter the work / catering accordingly
bulletOrganise for the catering kit / tools to be picked up from Dorothy's using the minibus (if appropriate also include kit to be painted)
bulletOrganise for the First aid kit to be checked

On the weekend:

bulletCollect the key and meet people at the accommodation / pub
bulletLiase with the site leader to make sure everyone knows what they are doing, where, and when - this will give you an idea for meal times
bulletOrganise for someone to do meals
bulletSaturday night collect monies owed for food (£1 for breakfast, £1 for lunch, £2 for evening meal) plus minibus fuel, any extra after the receipts have been paid return to Lesley
bulletAny items purchased for the local society / hired should be reimbursed
bulletDecide what packing up is needed on Sunday
bulletMake sure kit is cleaned and returned to Dorothy's

And finally....

bulletWrite a dig report!
bulletComplete the Outdoor Activities insurance form and e-mail it to insurance@waterways.org.uk
